At the joint seminar of the 26th Conference on the Future of CRCs and Clinical Trials 2026 in Kyoto, we will discuss the joint project being advanced by Nara Medical University Hospital and Buzzreach as an initiative that embodies the “entering of a new era of commitment to the number of cases” by clinical trial sites, including university hospitals.

As the environment surrounding clinical trials changes dramatically, actively incorporating the latest technologies, including AI, will become increasingly important.

On the other hand, the most important prerequisite is surely a clear desire or goal of
“what you want to achieve.”

As a health tech startup, Buzzreach prioritizes the use of cutting-edge technologies, including AI. However, we believe that no matter how excellent the technology, the “purpose” and “motivation” of the people involved greatly influence how it can be effectively used and developed into a truly valuable system.

This seminar will not simply introduce system implementation or DX case studies, but will explain, through an actual joint project, why Nara Medical University Hospital decided to “commit to increasing the number of cases,” and how they are combining organizational and regional collaboration, technology, and the support of principal investigators and those involved in clinical trials to achieve that goal .

[Session summary]
In Japan, patients are dispersed among regional medical institutions, limiting the number of cases that can be accumulated per clinical trial site, which contributes to the prolongation of clinical trial periods and drug lag/drug loss. In order to achieve efficient case accumulation under these circumstances, it is urgent to build a new clinical trial implementation system that utilizes collaboration with regional medical institutions and communities and digital technology. Furthermore, clinical trial sites, primarily university hospitals, are required to commit to achieving the contracted number of cases and ensure reliable case accumulation in order to become facilities that are continuously selected by sponsors. This will lead to stable clinical trial contracts and the securing of non-medical revenue.
In this seminar, we will share how to collaborate with local medical institutions and communities, and the role that university hospitals should play. We will also introduce a concept for a next-generation clinical trial implementation system that combines a digital platform to support clinical trial operations and a new human resource model called Recruit Manager, based on the practical examples of the Clinical Research Center (iCATs) at Nara Medical University Hospital.
At iCATs, in order to become a “clinical trial site of choice,” we have set forth three key priorities: ① speeding up case registration, ② increasing the number of registered cases, and ③ simplifying and standardizing procedures.

1. Implementation of KPI-based enrollment progress management and KPI management using standardized
clinical trial progress target sheets (thorough management of initial IC and allocation target dates, etc.). In addition, measures to reduce the workload of sponsors and CRAs through the reduction of unique documents, such as the recommendation of a common ICF
template .
2. Reliable Case Accumulation through Regional Networks and Recruitment Managers
iCATs, which serves as the secretariat for the “Nara Clinical Research Network (NARA net),” will collaborate with partner medical institutions to
expand access to clinical trials and improve case accumulation capabilities throughout the region. A new scheme
combining and digital technology will be introduced.
3. Emphasis on Achieving Contracted Case Numbers A comprehensive overview of
the entire clinical trial will be taken, with the principal investigator (PI) and CRC constantly sharing
the enrollment A promotion system will be established to ensure the achievement of the contracted case number committed to the sponsor. This will be an opportunity to think together with participants about how
to improve patient access to clinical trials and improve the efficiency of case
accumulation
personnel, the systems required of clinical trial institutions in the future, and the prospects for achieving them.
